New features in One Search

Keep up to date with the most recent One Search enhancements to get the best possible results in your catalogue search.

What’s new in One Search, January – June 2025

Research Assistant

We are now trialing a new way to search the catalogue using natural language questions. For example: How does vitamin D deficiency impact overall health?

Research Assistant is a generative AI powered tool that will generate an overview response to your question by analysing the description and abstracts of 5 relevant sources. The sources are provided, in addition to alternate research questions for further exploration.

How to access Research Assistant:

  • After logging in with your State Library of Queensland membership, select the Research Assistant from the main menu on any One Search page;

  • Search results page – look for the Research Assistant widget on the right side of the screen.

Keep in mind:

  • Research Assistant does not search the entire library catalogue. It only searches selected online resources, like online databases, journal articles, and ebooks. It does not include State Library’s local collections, print resources, family history resources or news articles. Content from some providers such as JSTOR and Elsevier are also not included.

  • The overview response is based on 5 sources that have been determined to be relevant to your query. It is not based on objective evaluation methods and may miss other sources that are important to your topic.

  • The overview is created from language patterns rather than an understanding of the content.  It may miss information contained in the full text of articles, as only the description and abstracts are used.

  • Like any AI tools, you will need to review the generated overview carefully and avoid copying it directly. Some sources may skew the overview as context can be missed, and dates and other details may be misinterpreted.

  • Research Assistant does not use your personal data in any way. Nor does it use your queries to train the AI tool.

Past releases and enhancements

Person entity pages

Ever wondered what Tim Winton looks like, when Albert Einstein was born or who wrote biographies of Charles Dickens?  Now you can without leaving One Search.

Using linked open data from Wikidata and the Library of Congress, you are now able to find out more about some authors and other people from a search in One Search.

On some full records you will see a Related persons box on the left-hand side of the screen, often with an image of the person. Records may have up to 5 boxes. This provides you with the start of more information about the person such as their date of birth and date of death.

By clicking on their name, you are taken to a new page with further information about the person.

You will then also see other titles in the library by that person, titles in the library about that person, and sometimes a list of people with a connection to that person.

This feature is not a complete biography or list of works by a person or a comprehensive list of their works, nor is it on every record in One Search. However, it is a stepping stone for further exploration.

Verbatim searching for Articles and more

Verbatim searching has been added to One Search when using phrases in quotation marks or the Advanced Search contains exact phrase with a search using the Everything or Articles and more search scopes.

This feature narrows your search results so that only results with the exact match are returned in the search results. Results with related variations of words like plurals (dog not dogs) or American versus British spelling (color or colour) will not be returned.

For example, a search for “naughty duckling” will return only naughty duckling not naughty ducklings as well.

To avoid the specificity of search, do not use quotation marks or the contains exact phrase in Advanced search.

Bulk record export

Users can now export bulk search results from One Search by selecting the EXPORT ALL RESULTS option that displays above the search results when one or more records are selected.

The bulk export feature allows records to be emailed in 3 format types:

  • Export RIS
  • Export BibTeX
  • Export to Excel (xlsx or csv)

Up to 10,000 records can be exported but if there are more than 5,000 search results, the number of records exported may vary between 5,000 and 10,000 depending on the source of the record (local catalogue or from databases).

For this functionality to be useful it is suggested users keep their search results below 5,000 records. Search strategies can be adjusted using filters and facets.

The results in the file may not be in the same order as the search results.

Users must be logged into to use this feature. Please only send records to your own email address.

If the email doesn't arrive within around 10 minutes, please check your Spam or Junk folder.

This functionality is not supported on mobile devices.

New resource type available for search filtering

eBooks – an electronic book that can be accessed and read immediately on screens.

 Link to Pay Fines

The Fine + fees section in My account now provides a link to the BPOINT payment system if you have a fine to pay.

Social media action

The Social Media action has been added to the brief display, full display and My favourites pages to allow users to share records with other users using social media applications. After selecting the Social Media action, users can share the permalink using the following social media applications: WhatsApp; Facebook, Twitter and Linkedin.

Alphabetic sort of subjects in record’s full display

The subjects that display in the record’s full details are now sorted alphabetically.

Display document attributes for CDI records

CDI document attributes provide more information about the type of record and complement the existing resource types. These attributes display as a flag (Regular and Warning types) in the brief and full displays of the CDI record. In addition, users can select these attributes as additional facet resource types.

  • Review Article - An article that provides analysis, review or interpretation of a body of primary research on a specific topic. Presents a current state of the research on a particular topic or research area.
  • Primary Source - Primary sources provide first-hand testimony or direct evidence concerning a topic under investigation. They contain the actual textual material that is the subject of research. The Library of Congress refers to them as the "raw materials of history — original documents and objects which were created at the time under study.
  • Preprint - A preprint is a preliminary version of a scientific manuscripts that researchers share by posting to online platforms known as preprint servers before peer-review and publication in an academic journal. Preprints are typically published in Preprint servers, publicly available online archives that host preprints and their associated data.
  • Retracted publication - A retraction is the action by which a published paper in an academic journal is removed from the journal, because the publication contains such seriously flawed or erroneous data that their findings and conclusions cannot be relied upon. Unreliable data may result from honest error or from research misconduct. Datasets can also be retracted. The original article may and in most cases will have a different date than the retraction notice.
  • Retraction notice - A retraction notice typically accompanies the retraction of a scientific publication. It is a short article written by the editors or authors explaining the reason for a retraction.
New resource types available for search filtering (September 2023)
  • Magazine - A popular interest periodical usually containing articles on a variety of topics that are written by various authors in a non-scholarly style.
  • Magazine Article - A self-contained nonfiction prose composition guide on a fairly narrow topic or subject, which is written by one or more authors and published under a separate title in a magazine.
  • Collection Guide – A tool that helps a user find information in a specific record group, collection, or series of archival materials.
  • Collection Guide with digital content -  Some or all of the items described in the collection guide have been digitised and can be viewed online.
  • Microform -  A storage format that uses small images ('microreproductions') of printed documents to store huge amounts of information in a small physical space.
Improved User’s Session Timeout Experience

Users will receive the following warning prompt 60 seconds before timeout and they can choose to extend their session. In addition, users can choose to automatically extend their session by activating this option in their Account in One Search. To do this, login in to One Search,  go to My Account and click on My Personal Details and Settings. There is an option on the right side of your settings to “automatically extend my session>”

Databases A-Z

In addition to being able to view databases by subject grouping, you can now also choose to view an alphabetical listing of database titles.

Resource Type Filter Bar

A new resource type filter ribbon now appears under the basic search box to allow users to filter their results by resource type. Advanced search continues to provide the additional search filtering many users are familiar with including search field and search specification.

Support “Starts With” option for call number searches

For advanced searches, users can now use the ‘Starts With’ option to search for holdings call numbers. Previously, this option was enabled only for title searches.

Support Exact Phrase Only Searches in Advanced Search

Previously, the Is (Exact) Advanced Search option for Author, Title, and Subject field searches returned results that included the exact phrase, but it could also contain other words. For example, an author search for "Williams, John D." may return records with Williams, John D. or Williams, John, d. 1683 in the Author field.

With this enhancement, the name of the Is (Exact) Advanced Search option has been changed to Contains exact phrase. In addition, users can now specify the new Equals exact phrase Advanced Search option that returns results in which the data in the specified Author, Title, or Subject field contains only the exact phrase. For example, an author search for "Williams, John D." returns records that contain only Williams, John D. in the Author field.

Full text searching of collection guides

When searching in One Search you are not only searching the One Search records themselves but also searching the full text of some of the linked resources. This full text searching has now been expanded to include the series and items listings within our collection guides]. For example, you can now search for a name, date or event mentioned in a series and items listing and item will find the record for the Collection Guide in One Search.

Barcode search

Users can now search by barcode to locate specific physical items on the shelves more easily. To support this type of search, the Barcode Search tab has been added to Advanced Search.

Support Search in My Favourites

Signed-in users can now search My Favourites > Saved Items to find items more quickly in long lists. The search is performed on the Title, Author and labels fields.

Changing Number of Titles per Page

Previously, users had to scroll to the bottom of the page to set the maximum number of results per page. Users can now set the number of page results by also clicking the expand icon next to the total results count that appears at the top of the page. For signed-in users Primo VE now saves this setting between sessions, and for guests this setting is kept only for the current session.

Warning message when guests add to favourites

When a non-logged in user pins a record, the record will only be saved to their favourites for the duration to the session. These users will now receive an alert that they will need to login if they wish to save the record beyond that session.

Expand Database Searches to All Data Fields

Previously, searches performed in Database Search matched only on the title. Searches are now expanded to all fields (such as subject and author). With the next release, the expanded DB search functionality will also allow users to search by category name.

Voice search assistant

The Voice Search Assistant enables you to enter search terms using your device's microphone. After selecting the Microphone icon, you can begin speaking search terms. If no input is detected for 10 seconds, the system provides a message and  prompts you to provide audio input two more times before timing out and exiting the voice search assistant. If audio is detected, One Search will display the relevant search results.

Apply actions in bulk

With this enhancement, you can now select multiple items on the Brief Results page and perform the following operations in bulk.

  • Apply export actions (such as print, email, and export to RefWorks).
  • Save to My Favourites by selecting the Pin icon that appears above the list of records. In addition, signed-in users are permitted to apply a new or existing label to the items.
  • NB  The number of selections is limited to a maximum of 50 items at a time. If this limit is reached, you will be prompted to edit your selections.

Utilize mobile Device Capabilities – QR code as a link to One Search pages

Allows you  to share One Search pages quickly with other users using a QR code. Examples for how this could be used:

  • Instructors can create a search results set of relevant materials for a course and include the page's QR code in a slide presentation.
  • Reference librarians can find materials on their workstations for users and share the queries and records quickly by allowing users to scan the QR codes with their mobile phones.
  • Researchers can keep or share their findings by making the QR code available on their web page, poster, social media etc.
  • You can also get a record's QR code by selecting the QR send-to action in the brief and full display of a record. This lets you either copy the page's permalink to the clipboard or use your mobile device to scan the QR code. In addition, you can use your browser to save an image of the QR code to a file.

Journal coverage dates display in brief results

We now display the coverage summary of our electronic journals by year in the availability statement in your search results list, reducing the need to view the journal's full display to get coverage information. The coverage summary will include a maximum of three date ranges. If there are more than three, the summary will include the more label.

Note, because the coverage information is calculated in real time, it will not appear instantly in the results If the journal is available with no limitations and its portfolios do not contain any date ranges, coverage information will not display in the availability statement.

Coverage information may include a single embargo and if multiple embargos exist, only one of them will appear in the coverage. If there are more than three date ranges in the coverage, the embargo will be excluded from the coverage if it exists.

Improved CSL Mapping - Differentiate Authors and Creators

Previously, there was no distinction made between Author and Contributor names when creating a record's citation. The Citation export action now includes the role (such as editor or illustrator) if defined in the bibliographic record so that the contributions of each author/contributor is indicated in the citation.

Support Austlang and Custom Languages

One Search now supports the Austlang language codes under the Language field of the record's full details and under the Language facet in the results.

Links to PDFs in Unpaywall

This functionality allows users to link directly to PDFs in Unpaywall from the record's brief display in the Brief Results and Full Display pages

Unpaywall is a service that maintains a database of links to full-text articles from open-access sources all over the world. The content is harvested from legal sources including repositories run by universities, governments, and scholarly societies, as well as open content hosted by publishers themselves. Unpaywall focuses on providing greater access to several types of open content:

  • Author-Archived Open Access content: Unpaywall captures OA versions of articles – generally manuscript versions – that authors have posted in repositories (while the final published versions appear in paid-access journals).
  • Hybrid OA content: Unpaywall captures individual articles which are available OA directly from the publisher, in a journal which is otherwise available only by paid subscription.
  • Full OA journal content: Unpaywall captures articles which are published in full OA journals and indexed in the Directory of Open Access Journals or other sources.
