Queensland Government email discussion lists

State Library of Queensland hosts email discussion lists to provide convenient, email-based discussions to facilitate information exchange, to foster collaboration, and to support professional communication and development among Queensland Government departments and agencies.

State Library of Queensland uses Listserv software to manage and host lists. Each list must meet the following criteria:

  • facilitate information exchange and foster collaboration, professional communication and development within the Queensland library community, state and local government and approved Queensland community groups
  • focus on list topics
  • cover topics not covered in existing lists.

Each discussion list hosted by State Library is administered (owned) by approved applicants. The service is provided on the understanding that:

  • members and list owners comply with the conditions of use
  • State Library staff can disable or delete a discussion list if its continued operation threatens Internet service availability or if it is in conflict with the conditions of use.

The conditions of use apply to a person who:

  • applies to join or is a member of a State Library discussion list
  • applies to establish or is a list owner of a State Library discussion list.

List conduct

  • Comply with the conditions of use
  • Provide a succinct, relevant subject for each message
  • Keep messages brief and relevant
  • Respect the opinion of others
  • Always provide a signature with postings
  • Include a disclaimer, if appropriate
  • Do not send messages that:
    • are defamatory
    • infringe copyright
    • spam (send multiple similar email messages, including persistent messages on topics unrelated to the purpose of the list)
    • are pornographic or degrading or in any way breach criminal law
    • are threatening, abusive or harassing
    • contain viruses or destructive programs
    • are chain letters.

Commercial purposes

Advertisements are not appropriate. However, a simple statement that offers a way to follow up for more information on a service or product is acceptable if it accompanies a substantive message discussing a subject appropriate to the list. Announcements of conferences, workshops, new publications, and position openings appropriate to the topic of the list are welcome. If in doubt, please contact your list administrator prior to posting to the list.

Attachments

State Library of Queensland strongly recommends the use of website links as opposed to the use of attachments. 

Viruses

Take every precaution to avoid sending viruses via messages sent to discussion lists. State Library of Queensland takes no responsibility for loss or damage caused by viruses transmitted in email received from a hosted discussion list.

Intervention

State Library of Queensland will close a list if its continued operation threatens internet service availability or if it is in conflict with the conditions of use. Lists will be monitored for usage. When lists have very low levels of traffic, the list owner will be consulted and the list may be shut down if unused.

Archives

Archives of list messages will potentially be retained indefinitely. State Library of Queensland staff will monitor performance and storage capacity of Listserv lists and will advise of any potential change to archive limits.

State Library of Queensland does not control the contents of the discussion lists. State Library of Queensland makes no representations or warranties about the accuracy, reliability, completeness or suitability for any particular purpose of the information posted to these lists. The fact that State Library of Queensland hosts a discussion list does not serve as an endorsement by State Library of Queensland of the content of every posting to a list. List subscribers should rely on their own critical evaluation of the postings.

Your information

State Library of Queensland collects your subscriber information to enable us to provide you with a range of discussion list services. To offer our services, we need to store data offshore and we may share your information with a company based outside Australia. By subscribing to a discussion list you agree to your subscriber information being stored offshore. This supplier is allowed to use the data for contractually agreed purposes and must handle data in a confidential and secure manner, in accordance with Queensland privacy legislation (Information Privacy Act 2009).

To ensure that your discussion list emails will get to your inbox and not your junk folder, add the email to your Safe Senders list. You will need to do this for each discussion list you subscribe to. More info.

Microsoft Outlook
1. On the Tools menu, click Options.
2. On the Preferences tab, click Junk E-mail.
3. On the Safe Senders tab, click Add.
4. In the Add address, put [LISTNAME]@lists.slq.qld.gov.au
5. Click OK.

If you organisation uses Mimecast to manage email security for Microsoft Exchange and Microsoft Office 365, you may have issues receiving discussion list emails. Please speak with your IT team to update Mimecast configurations. Read more.
