State Library of Queensland provides a lending service to State Library members who may borrow items from the Information Collection, or request a loan to be sent to their nominated Queensland public library via One Search, the library catalogue.

These Terms and Conditions outline the types of items available for loan and the conditions of use.

Who can borrow from State Library of Queensland?

Queensland residents

To borrow you need to:

You may use the Request a loan (send to my public library) service to have your loans sent to your public library.

Non-Queensland residents

If you do not live in Queensland, then you may borrow via the interlibrary loan service provided by your local or institutional library.

If you are a Library requesting items for your patron, please refer to the Loans and Copy to Libraries Policy.


What items can I borrow?

Items in the Information Collection may be available for loan, these include:

  • books, pamphlets
  • music scores, performance sets
  • audio-visual items including DVDs, CDs and videos
  • magazines.

What items are not available to borrow?

The following collections or items are not available for loan:

  • Memory Collection
  • Extraordinary Collection
  • Public Library Collection (may be borrowed through your Queensland public library)
  • Rare and valuable items
  • Fragile items
  • Newspapers
  • Microfilm (may be borrowed through your local or institutional interlibrary loan service)
  • LPs
  • Electronic media, including CD-ROMs and computer discs
  • Items in high demand or on display in exhibitions.

Items not available for loan can be accessed onsite at State Library.

The physical condition of an item may affect the availability for a loan or copy, therefore the loan of an item is at the discretion of State Library.

For Government Officers certain `not for loan' items may be available subject to negotiation.  To confirm availability please contact GRAIL staff via grail@slq.qld.gov.au or 61 7 3842 9660.

If not available for loan, a copy may be requested (subject to copyright restrictions, licence conditions and conservation policies). Information about these services can be found at Copies and loans.

How can I renew my loans?

You can renew your loans in the following ways:

  • Online via One Search, My Account
  • In person at State Library during opening hours
  • p 3840 7810, Visitor and Information Services (Mon - Fri 9am - 5pm)
  • p 3840 7850, Access Services (Mon - Fri 9am - 5pm)
  • p. 3842 9660, GRAIL (Mon – Fri 9am – 5pm) for Government Officers only.

Your loans can be renewed up to the maximum loan period.

Additional renewals may be negotiated at the discretion of State Library.

Loans cannot be renewed if:

  • Requested by another borrower
  • The item is in high demand, requested by another borrower or has conditional access
  • The item has reached the maximum loan period.

How can I place a hold?

You can place a hold on an item on loan or on order via One Search, the library catalogue.

You will be notified if the request cannot be supplied.

You will be notified once an item is ready for collection and advised of the pickup location.

Government Officers contact grail@slq.qld.gov.au to place a hold on an item which is on loan or on order.

State Library cannot guarantee the supply date of a request placed on an item that is on loan or on order.

Where do I collect my holds?

Requested items are placed on the hold shelf (Level 3 or 4) for 3 days.

Items not collected will be returned to the shelves and your hold cancelled.

If you are unable to collect your item(s) during the 3 day period, you can request an extension (maximum 7 days) by contacting Access Services

Items for Government Officers are posted directly to your organisation.

Where do I return my loans?

Your loans can be returned to State Library in the following ways:

In person during opening hours to:

  • Reception, Level 1
  • Business Studio, Level 1
  • Information Desk, Level 3

State Library currently does not offer an after-hours return facility.

Lost items (non-return of loans)

An item is considered lost and an invoice issued to you once the item is 42 days overdue.

The replacement cost is based on State Library of Queensland Annual Asset Valuation figures, which are reviewed annually.

The purchase of a new replacement copy may be negotiated in lieu of a payment. Please contact Access Services to  discuss the terms and conditions.

A refund will be given for an item paid for and returned within a six month period and is based on the condition of the item returned. All refunds will be via an electronic funds transfer.

A refund will not be issued for items paid for and returned after a six month period.State Library reserves the right to suspend borrowing privileges until all overdue items are returned or the invoice is paid in full.


Damaged items

You are responsible for maintaining the condition of items borrowed from State Library.

If an item is returned damaged e.g. missing pages or water damaged, you are required to meet the cost of repairing or replacing the damaged item.

An invoice to cover the cost of repair or replacement will be forwarded to you.

The purchase of a replacement copy may be negotiated in lieu of a payment. Please contact Access Services to discuss the terms and conditions.

State Library reserves the right to suspend your borrowing privileges until payment for repair or replacement is received.

Items returned but still on your account

If an item is recorded on your account but returned please notify State Library as soon as possible.  Please include details such as where and when you returned your loans to help us locate your items.

State Library reserves the right to suspend your borrowing privileges until the item is located.

Appeals

Appeals regarding replacement costs/penalties are to be made via:

Address the appeal to Lead, Access Services and include a copy of the invoice with your submission.  Please include as much detail as possible in your appeal to assist in processing your request.
